About the Job

The Event Coordinator role is responsible for assisting with the planning and execution of company events and trade shows. Key responsibilities include coordinating logistics, managing event timelines, and ensuring smooth on-site operations. This position plays a critical part in delivering well-organized, engaging, and successful events that support company goals.

Responsibilities:

  • Assist in developing and maintaining the events and sponsorship calendars, project plans, and activation timelines.
  • Help prepare briefing materials, presentation decks, and post-activation recaps.
  • Travel as needed for on-site event execution (registration, setup, booth management, attendee engagement, etc.)
  • Contribute to event success by supporting lead capture, pipeline influence, attendee satisfaction, and brand visibility.
  • Take ownership of smaller-scale events or specific logistics work streams under the guidance of the Events Manager (e.g., shipping, vendor coordination, catering).
  • Communicate clearly with stakeholders on event timelines and expectations.
  • Support post-event lead management and follow-up coordination in HubSpot.
  • Other duties as assigned.

Qualifications:

  • Strong organizational and project management skills.
  • Ability to balance multiple work streams simultaneously, with high attention to detail.
  • Proficiency in Google applications and experience working in technology tools such as Zoom and Slack. Natural comfort level and eagerness to learn new applications and systems.
  • Ability to follow verbal and written instructions and carry out all tasks assigned in a timely manner in a deadline-driven environment with multiple changes to the event schedule.
  • Willingness to travel as part of the role and flexibly work evenings and weekends as needed.
  • Excellent written and verbal communication.
  • Ability to remain calm and professional under pressure.
  • Team-oriented with a positive and personable attitude.
  • Ability to lift up to 25 lbs and stand on feet for extended periods of time during the event.
