Systole Health is a venture-backed startup focused on transforming care for women’s heart health through evidence-based virtual shared medical appointments (SMAs).
We’re looking for an Operations Associate to join our growing team! This role is a unique blend of daily customer support (50%) and strategic operational growth projects (50%), making it ideal for someone who thrives in both patient-facing interactions and behind-the-scenes process improvement. You’ll play a critical role in ensuring a seamless experience for our patients while helping build scalable operational systems for the future.
This position reports directly to the COO & Cofounder, offering a high level of ownership, mentorship, and exposure to strategic decision-making.
About the Role
Customer Support & Patient Experience (50%)
- Guide patients through onboarding via phone, email, and our EMR system (Healthie)
- Track each patient's onboarding journey to ensure they move efficiently from sign-up to active care
- Review patient availability, schedule group visits, and ensure patients are prepared for their appointments
- Explain the Systole program and answer questions about visits, scheduling, technology, and program details
- Complete insurance prior authorizations for medications
- Monitor patient satisfaction, track feedback, and proactively resolve patient experience concerns
- Maintain accurate records and workflows using Airtable, Google Sheets, CoverMyMeds, and Healthie
Strategic Operations & Growth Projects (50%)
- Track and analyze onboarding trends and learnings to improve efficiency, experience, and reporting
- Build workflows and operational tools to streamline internal processes
- Support new partner implementations, including patient enrollment planning and developing partnership materials
- Collaborate directly with partner administrative teams to ensure a smooth hand-off and ongoing coordination
- Expand insurance offering, including submitting and tracking new provider applications
